BOARD OF DIRECTOR’S MEETING
APRIL 21, 2014
PRESENT: Sue Campbell, Ruth Young, Bob Pierson, Ann Griffith, Doris Rand, Diana Seckla, Mary Miles, Stephanie Lyon
ABSENT: Dot McAndrew, Gary Weed, Doris Johnson, Don Tapper, Diane Blackwell
GUEST: Janet Sturges
The Board of Director’s Meeting was called to order at 2:00pm by Chairperson, Sue Campbell.
SECRETARY REPORT: (Judy Dutton) Motion made and seconded to accept report as presented.
TREASURER REPORT: (Bob Pierson) Bob handed out copies of the report with a verbal report. Motion made and seconded to accept report as presented.
COMMUNICATIONS: (Dot McAndrew) a thank you letter was read from Dana Farber for the donation in memory of Tony Camarra.
COMMITTEE REPORTS:
- SPECIAL EVENTS: (Doris Johnson) None
- DIRECTORS REPORT: (Stephanie Lyon)
- LIONS CLUB: Want to use the building including kitchen/stove on Memorial Day Weekend including their car show
- No charge for use of building (non-profit organization)
- Propane charge of $50.00
- Motion made and seconded to accept with the above agreements
- (Also, motion made and seconded that if anyone rents the building including the use of the kitchen/stove, it will include a $50.00 propane charge.
- RENTAL OF FACILITY: Old Lyme resident (name available on tape in Records Room) wants to use building to do a woman’s workshop
- There will be 10 – 16 people attending
- Those attending will pay a fee for this workshop
- They will bring their own lunch
- A motion was made and seconded to charge a $100.00 for use of the building and a $75.00 charge for cleaning following this event
- Stephanie Lyon will provide them with a key and instructions for putting on the alarm before leaving
- Old Lyme resident (name available on tape in Records Room) wants to use the building for a 30th birthday party for 40 – 50 people
- They want use of the kitchen/stove
- The will have music
- They want to have wine and beer
- Motion made and seconded to use the building/kitchen/stove including:
- $50.00 for use of kitchen for propane use/$50.00 for use of building/$75.00 charge for cleanup
- A security deposit of $100.00 which will be returned if building is left as found
- 1st Selectwoman, Bonnie Reemsnyder will need to approve the use of any alcoholic beverages
- CHAIR USE: Old Lyme resident would like to use the center’s folding chairs for a party on the beach
- Motion made and seconded NOT to approve this request
- TRIPS: 52 people going to the Mohegan Sun Casino – Old Lyme/Lyme, Waterford and East Lyme people
- VOLUNTEER PLAQUE PRICE APPROVAL: Stephanie requested $200.00 to complete volunteer plaque
- $9.50 charge for additional volunteer’s name to be engraved each year
- Motion made and seconded to give Stephanie $225.00 to cover this charge
USE OF BUILDING: (Stephanie Lyon)
- Lyme/Old Lyme High School wants to use the building for a National Honor Society Activity Night
- Question: Why don’t they use the school?
- Question: What do these activities include?
- Question: Does the school have an insurance policy to cover any school event off the school grounds?
- Question: How many people will be coming to this activity?
- After some discussion, it was decided that Stephanie should contact the school and get the answers to the Board’s questions and then make a decision
- 692 membership to date – 1051 signed in for lunch/programs

EMERGENCY MANAGEMENT: (Diane Blackwell, /Sue Campbell) None
FRIENDS OF the LYMES’ SENIOR CENTER: (Diane Blackwell/Bob Pierson) Memo from Diane Blackwell read as follows:
- The “Friends of the Lymes’ Senior Center, Inc.” has been officially formed in the state of CT
- The main function is to support Senior activities in the area
- The following Directors’ sit on the Board of Friends: Bob Pierson/Diane Blackwell/Diana Seckla/Jerry Nolan/Leslie Massa
- The Friends group will begin holding meetings and electing officers within the next month
- Need to get a tax number before we can file 501C3
RECOMMENDATON RELATIVE TO GARDEN PROJECT:
- I met with Andrea Fenton and two Master Gardeners regarding the Garden Project
- Recommended the garden site to be in the tall grass area next to chain link fence
- The Gardeners do not like that area
- They feel it is a natural habitat for other animals
- Discussion ensued about various other grass sites for the garden
- One site they liked was by the Bocce Courts
- I told them we were going to put Horse Shoe Pits in that area
- The site they are looking at now is off the back of the building, in the lawn opposite Stephanie’s office and by the dirt road
- I discussed the Center use of the lawn immediately outside of the building for Summer Concerts
- Talked about the porch being reconfigured in the future
- Possibly the garden can work next to the dirt drive with the understanding that it be contained in size to two raised beds
- The design would have to be attractive and fit in with the existing gardens on the property
- I explained that it is up to the Board to approve the grass site or pick another location
- Ethan is to present a two page written proposal to the Board regarding this project
- Report should include: project size/total size of the garden perimeter/materials used for fencing/raised bed materials
- Soil and fertilizer must be organic
- Times lines for this project
- A motion was made and seconded to keep the garden project as first discussed in the March Board Meeting until Nathan’s Project Proposal is presented to the Board
SEARCH: JUNE ELECTIONS: Search committee to be Mary Miles and Diana Seckla and needs to be presented at the next Board Meeting in May.
FINANCE: (Bob Pierson/Doris Rand/Gary Weed) None
PUBLICITY: (Stephanie Lyon/Sue Campbell/Diane Blackwell) See flyers anywhere and everywhere in the building
OLD BUSINESS:
- Garden Project: (Diane Blackwell) See above report
- Tablecloths/Serving Trays: (Doris Rand) Doris purchased 12 tablecloths – 10 oblong and 2 round
- They are beige in color and very pretty
- Could we get hangers to put them on instead of storing them in boxes – possibly pant hangers
- I called the Estuary to see where they purchased they trays and they gave us four
- GOOD JOB…..Doris
- Volunteer Lunch: (Stephanie Lyon) About 75 coming
- Need to know definite count by May 6th
Update on water treatment: Still in progress
NEW BUSINESS:
- The windows in the Nurse’s Office do not open
- Gets hot in there in the summer
- Screen on the front porch is blowing and needs to be repaired
- Bob Pierson will contact Don Tapper to get there two items fixed
A motion was made and seconded to adjourn the meeting at 2:45pm
